Job DescriptionAs the Operations Executive Assistant, you will be responsible for supporting the Sr.
VP of Operations (SVPO), the SVP of Quality, R&D, and the coordination of department operations, along with the management of resources to facilitate organizational effectiveness and efficiency.
This position provides a high level of administrative support for company executives and their teams to ensure they can efficiently accomplish key tasks and objectives.
PRIMARY DUTIES AND
Responsibilities:
Act as the point of contact between SVPO and internal/external clients as well as the SVP Quality and their clients.
Manages SVPO and SVP of Quality calendars & frequently schedules meetings & sends out communication on their behalf (1:
1's- monthly, quarterly, annually, Lean Jax meetings, QA/RA meetings, supplier visits, Monthly Ops leadership, cross-functional meetings, Leadership meetings, Lunch n Learn etc.
)Provide administrative support to employees within Operations, Quality/Regulatory, and R&D including ordering supplies, coordinating lunches, serving as a point of contact for general questions, travel arrangements, scheduling meetings, and hosting guests.
Assist with research, coordination, and planning of employee events for Ops, Quality/RA, and R&D teams.
Assist with coordination and planning of industry conferences and other events as needed; coordinates/event planning for R&D lab events (book hotels, arrange car service, create agendas, and travel spreadsheets, order/distribute swag, arrange breakfast, lunch, & dinner, make off-site dinner reservations, work with facilities to ensure AC, janitorial services will be needed, etc.
)Manage event planning for monthly doctors' meetings (arrange transportation, facilities, hotels, on and offsite meals), act as a liaison between physicians and R&D staff on coordination and communication of arrangements.
Maintains and distributes the Events Calendar for Sales, Med Ed, and R&D departments.
Welcome and host in-office guests, answer, and direct telephone inquiries.
Prepare expense reports.
Assist with purchase orders for Facilities and Engineering as requested.
Maintain an efficient documentation and filing system for both paper and electronic records.
Monitor office supplies and research advantageous deals or suppliers; assist with ensuring snacks/beverage coolers are filled within conference rooms.
QualificationsHigh School Diploma Required.
Associate's degree or post-secondary education preferred.
Five (5) years of previous experience supporting C-Level Executives is required.

The check will bounce and the victim is left responsible.
